SMS Text Messaging

Overview

LeadMachine includes two-way SMS messaging powered by Twilio: team members who opt in can text Ledo like a colleague to manage the CRM from their phone — ask about leads, book meetings, update statuses, manage deals, capture notes and tasks. (Texting your leads directly is coming soon.)

Texting Ledo is a conversation. There's no command syntax to memorize — text what you want in plain English and Ledo understands, takes action, and replies like a sharp colleague. It's the same Ledo you chat with in the app, with the same knowledge of your leads, deals, and pipelines.

Your SMS Assistant: When you first enable SMS, you'll receive a welcome message from Ledo along with a downloadable contact card. Save Ledo to your contacts for easy access!


Getting Started

Prerequisites

Before enabling SMS, you need a phone number on your profile:

  1. Go to My Profile > Profile tab
  2. Add your phone number in the contact information section
  3. Save your profile

Enable SMS Notifications

  1. Go to My Profile > Settings tab
  2. Scroll to the SMS Notifications section
  3. Toggle "Enable SMS Notifications" to ON
  4. Select which notifications you want:
- New Lead Assignment - Ledo texts you when a lead lands with you - Daily Summary - A short morning brief from Ledo at 8 AM

Preferences are saved automatically when you toggle any option.

You'll receive a welcome MMS from Ledo with a contact card to save.


What You Can Do via SMS

Text Ledo naturally — here's what it can handle:

Ask About Your Leads

  • "Who is Sarah Chen?" — Ledo gives you the rundown: company, source, status, recent notes, and enrichment
  • "What do we know about my newest lead?" — When Ledo just texted you about a lead, "them" / "this lead" refers to that lead
  • "What's the story with the Acme deal?" — Deal status, stage, and value at a glance

Book Meetings

  • "Book a meeting with Sarah tomorrow at 10" — Creates a Google Calendar event with a Meet link and invites the lead
  • Requires your Google Calendar to be connected in Integrations

Lead Management

  • Update lead status - "Mark Sarah qualified"
  • Add tags - "Tag Jane Doe VIP" or the quick #vip shorthand
  • Add notes - "Add a note to Jane: wants pricing by Friday"
  • Create new leads - Send a contact card (vCard) to create a lead instantly

Deal Management

  • Create deals - "Create a deal for Acme worth 50k"
  • Move stages - "Move the Acme deal to Proposal"
  • Update value - "Bump the Acme deal to 75k"
  • Close deals - "Mark the Acme deal won" / "Close the Widget deal, lost on budget"

Task Management

  • Create tasks & reminders - "Remind me to call Steve at 3" — natural dates like "tomorrow" or "next Monday" work, mention a lead's name and it auto-links

Notifications

  • Lead assignment alerts - Ledo texts you when a lead is assigned, and you can reply right there to act on it
  • Daily morning recap - A one-line brief of new leads, follow-ups, tasks due, and hot leads
  • Plain-English confirmations - "Done — Sarah Chen is now Qualified."

It's a Conversation

The big idea: reply to any Ledo text and keep talking. A typical exchange:


Ledo: Hey Jay, Ledo here. New lead for you: Sarah Chen — Chen
      Roofing (via Google Ads).

You: who is she?

Ledo: Sarah Chen runs Chen Roofing in Austin — came in through Google Ads about an hour ago, status New. Her form note says she wants a quote on gutter replacement. Want me to book a call or mark her contacted?

You: book a meeting with her tomorrow at 10

Ledo: You got it — Sarah's booked for tomorrow at 10am. Meet link is on the invite.

Ledo remembers the recent back-and-forth, so follow-ups like "her", "them", or "that deal" resolve naturally.

Lead Assignment Notification

When a lead is assigned to you, Ledo texts you:

Reply and I'll help — ask me about this lead, book a meeting, or update their status.

Reply in plain English ("mark her qualified", "who is she?", "book a call Friday") — or reply with a bare number (1-5, mapped to your company's statuses in order) for the legacy quick status update. Quick-reply mappings expire after 48 hours.

Daily Summary

If enabled, Ledo sends a morning brief at 8 AM:


Morning Jay, Ledo here. Today: 3 new leads, 2 leads need a
follow-up, 5 tasks due, 1 hot lead.

The daily summary covers:

  • New leads assigned to you in the last 24 hours
  • Leads needing follow-up (status New or In Progress, not updated in 3+ days)
  • Tasks due today
  • Hot or Qualified leads requiring attention

You can reply to the summary and ask Ledo about any of it.

Action Confirmations

After any action, Ledo confirms in plain English:


Done — Sarah Chen is now Qualified.

Done — tagged Jane Doe "VIP".

Adding Leads via Contact Card

Create new leads by sending a contact card (vCard) to Ledo via MMS.

From iPhone

  1. Open the Contacts app
  2. Find the contact you want to add as a lead
  3. Tap Share Contact
  4. Choose Messages
  5. Send to Ledo's number

From Android

  1. Open your Contacts app
  2. Select the contact
  3. Tap Share > Share as vCard
  4. Send via SMS/MMS to Ledo's number

When Ledo receives the contact, a new lead is created with:

  • Name, company, and title
  • Phone numbers and emails
  • Address information
  • Source marked as "sms_vcard"

You'll receive confirmation:


Done — created John Smith as a lead.

If a lead with the same email already exists, Ledo will let you know instead of creating a duplicate.


SMS to Leads (Coming Soon)

Today, LeadMachine SMS is a team-member channel — you text Ledo, and Ledo texts you. Texting your leads directly from LeadMachine is on the roadmap.

When it arrives, lead texting will be separate from your Ledo chat, with its own consent handling for leads and workflow-level controls. In the meantime, lead phone numbers captured through forms, enrichment, and contact cards are already stored on each lead's profile — so you'll be ready when it ships.

Opting Out

You can disable SMS notifications anytime:

Via Text Message

Reply STOP, STOPALL, UNSUBSCRIBE, CANCEL, END, or QUIT to any message.

Via Settings

  1. Go to My Profile > Settings tab
  2. Scroll to the SMS Notifications section
  3. Toggle "Enable SMS Notifications" to OFF (saves automatically)

Re-enabling

Reply START, UNSTOP, SUBSCRIBE, or YES to re-enable, or toggle the setting back on in your profile.


Tips

  • Save Ledo's Contact - Add the contact card to your phone so you can quickly text and share contacts
  • Just talk - "Who is my newest lead?" or "book a call with Sarah Friday" — no special syntax
  • Reply to notifications - The lead Ledo just texted you about is the one "them"/"this lead" refers to
  • Manage deals on the go - Create deals, move stages, and close deals without opening the app
  • Check daily summaries - Enable them to stay on top of follow-ups every morning, and reply to dig into anything

Troubleshooting

Not receiving messages?

  • Verify your phone number in My Profile > Profile tab
  • Ensure SMS notifications are enabled in Settings tab > SMS Notifications section
  • Check that you haven't replied STOP previously
  • Verify your carrier supports SMS from 10DLC numbers

Ledo not understanding?

  • Include the lead's or deal's name (first and last name works best)
  • Ledo searches your company's leads only
  • Reply ? or COMMANDS for examples
  • There's an hourly conversation limit — if you hit it, Ledo will let you know once and pick back up within the hour
