HubSpot Integration Guide

Connect your HubSpot account to LeadMachine to get the two things LeadMachine does that HubSpot doesn't: source brand-new leads with the Discovery engine, and enrich the contacts you already have with verified emails, phones, titles, and LinkedIn profiles — all without leaving HubSpot as your system of record.

LeadMachine sits on top of HubSpot as a growth brain: it feeds leads in, improves the data on your existing contacts, and surfaces calm, one-thing-at-a-time nudges from your HubSpot pipeline.

What It Does

  • Push discovered leads into HubSpot — run a Discovery search and send the sourced companies/contacts straight into HubSpot as Contacts, deduplicated against what's already there.
  • Pull your existing HubSpot contacts into LeadMachine and run them through enrichment (Apollo, Hunter, EXA, Google Places).
  • Write enrichment back to HubSpot — as a contact gets enriched, the improved fields (job title, phone, and LeadMachine custom fields for LinkedIn, enrichment confidence, and research) are written back onto the HubSpot record automatically.
  • Surface HubSpot pipeline signals in Focus — a card when open deals go quiet, and an occasional suggestion to source look-alikes of your pipeline.

Prerequisites

  • A LeadMachine account with Admin or SuperAdmin access
  • Beta access enabled for your company (see Availability above)
  • A HubSpot account you have permission to connect

Connecting HubSpot

  1. Log in to LeadMachine.
  2. Open Settings → Integrations (or Integrations from the profile menu).
  3. On the HubSpot card (marked Beta), click Connect.
  4. You're taken to HubSpot — choose the account/portal to connect and approve the requested permissions (read/write contacts and companies, manage contact properties, and read deals).
  5. HubSpot returns you to LeadMachine with a "HubSpot connected" message.

LeadMachine only reads and updates the contacts, companies, and deals you authorize. It never deletes your HubSpot data.

Once connected, the card shows a connected badge plus Push discovered leads, Inbound sync settings, and Disconnect.


Pushing Discovered Leads Into HubSpot

  1. Go to Discovery and run a search.
  2. Select the prospects you want.
  3. Turn on the Push to HubSpot switch in the results toolbar (it only appears when you're connected).
  4. Click Add to Leads — the selected people are created in LeadMachine and pushed into HubSpot as Contacts.

Prospects without an email are skipped for HubSpot (HubSpot keys Contacts on email); they still become LeadMachine leads. Pushing the same person twice updates the existing HubSpot contact rather than creating a duplicate.

Already created some discovery leads before connecting? Use Push discovered leads on the HubSpot card to backfill them.


Enriching Your Existing HubSpot Contacts

Once connected, LeadMachine pulls your HubSpot contacts on a schedule (about every 30 minutes), creates or updates them as leads, and queues them for enrichment. As each contact is enriched, the results are written back onto the HubSpot record — including four LeadMachine custom properties added to your portal:

  • LeadMachine Source — how the contact was sourced/last touched
  • LinkedIn (LeadMachine) — the LinkedIn profile we found
  • Enrichment Confidence (LeadMachine) — Strong / Moderate / Weak
  • Research Dossier (LeadMachine) — deep research, when available

Controlling which contacts get enriched

Enrichment uses credits, so you can scope exactly which HubSpot contacts LeadMachine pulls and enriches. On the HubSpot card, open Inbound sync settings:

  • Enrich all contacts — the default.
  • Enrich only contacts where… — pick any HubSpot contact property and a condition, e.g. Lifecycle stage equals lead, Lead status is known, or a dedicated checkbox you maintain. Only matching contacts are pulled and enriched.

You can also toggle Write enrichment results back to HubSpot off if you want LeadMachine to enrich privately without updating your HubSpot records.


HubSpot Signals in Focus

When your pipeline has activity worth acting on, it shows up in Focus:

  • Quiet HubSpot deals — when open deals haven't had activity in 14+ days, Focus surfaces the highest-value one to nudge, with a link straight to the deal in HubSpot.
  • Source look-alikes — occasionally, Focus suggests using Discovery to find more companies like the ones in your HubSpot pipeline, enrich them, and push them back in.

Disconnecting

Open the HubSpot card and click Disconnect. LeadMachine stops syncing and removes its stored access. Contacts already pushed or updated remain in HubSpot — nothing is deleted.
