Ledo Meeting Assistant
Ledo stays in the loop on your meetings from prep to follow-up — automatically. Connect your Google Account once, and Ledo preps you before lead meetings, captures Google Meet notes afterward, turns action items into tasks, and suggests deal updates based on how the meeting went.
What you get
Before the meeting
- The day before any meeting matched to a lead, Ledo generates a prep brief: who you're meeting, open deals, outstanding tasks, past meeting notes, and talking points — delivered as a notification and available in chat ("what's my prep for tomorrow?")
- A morning-of reminder when your prepped meeting is coming up
After the meeting
- Google Meet's Gemini notes flow into LeadMachine automatically (see capture options below): summary, action items, and key decisions are saved to the calendar event and matched leads
- Action items become tasks, assigned by name when they match your team
- If the lead is on an open deal, Ledo analyzes the meeting and files a deal advancement suggestion for your review
- Ledo drafts a follow-up email and saves it as a note on the lead — ready to copy or send
- No notes captured? Ledo nudges you an hour after the meeting: tell it how things went in chat and it updates the deal, adds notes, and creates follow-ups for you
Capturing meeting notes
Meeting notes come from Google Meet's Gemini "Take notes for me" feature. There are two ways they reach LeadMachine:
Option 1: Auto-capture (recommended)
- Go to Profile → Google Account and make sure you're connected (with upgraded access)
- Turn on Auto-capture meeting notes
- That's it — when a meeting on your calendar matches a lead, Ledo quietly joins the invite list. When Gemini sends out notes, Ledo receives and processes them automatically. Nobody else gets extra emails.
Option 2: Invite Ledo manually
Add your company's Ledo address (ledo-{alias}@inbound.leadmachine.fyi — ask your admin) as a guest on any Google Calendar meeting. When Gemini sends notes to attendees, Ledo receives its copy and processes it.
For internal meetings: when several team members attend the same meeting, notes are processed once — no duplicate tasks.
Scheduling meetings with Ledo
Ask Ledo in chat: "Schedule a meeting with Jane Smith tomorrow at 2pm about the proposal." Ledo creates the calendar event with a Google Meet link, invites the lead, and adds itself for note capture. Requires upgraded Google access (Profile → Google Account → Upgrade).
Setup checklist
- Profile → Google Account → Connect (one connection covers sign-in, calendar, booking, and meeting features)
- If you connected before the upgrade existed, click Upgrade Google access
- Turn on Auto-capture meeting notes
- Admin (one-time): configure the company's Ledo email alias under company settings
Privacy notes
- LeadMachine never reads your inbox — notes arrive because Ledo is an invited meeting guest
- Meeting notes are visible to your team on the calendar event and matched leads
- Deal suggestions are never auto-applied; they wait for your review
