Outreach
Send personalized, one-to-one emails that are grounded in real, verifiable research — then let your email campaign's follow-up steps continue automatically. Outreach turns cold prospecting into warm, specific first touches: every claim in every email traces back to a real source you can check before you hit send.
What is Outreach?
Outreach is LeadMachine's guided 1:1 email engine. Instead of blasting a template, you work prospects one at a time through a short wizard: pick who to write to, pick a personal angle and real business signals about their company (each with a link so you can verify it yourself), and Ledo writes a specific, human email built only from those facts. You review it in full, edit anything you like, and send.
The key idea: your personalized email IS step one of an email campaign. When you send, the prospect is enrolled in the campaign you chose, and its automated follow-up steps continue on schedule — without ever re-sending a templated first touch.
How It Works:
- You pick an Email Campaign (it defines who the email is from and what the follow-up steps are) and a targeting tag (who to work)
- The feed prepares prospects automatically in the background: it finds their email address, identifies their company, and researches real business signals
- You work each ready prospect through the wizard: target → personal angle → business signals → generate → review → send
- Sent prospects are enrolled in the campaign at step two — follow-ups, opens, clicks, and replies all track like any other campaign email
Grounding & anti-hallucination:
- Every business signal shown in the wizard is a real, sourced event with a verify ↗ link — check it before you use it
- The AI may only state facts from the signals you selected; every claim is cited in the Evidence panel
- The email gets a grounding badge: Grounded (every claim cited), Review (some claims need a look), or Uncited (rewrite it)
- Nothing sends without your review
Getting Started
1. Start a campaign from a prompt (fastest)
Click Outreach in the sidebar. Admins land on the New campaign tab — the quickest way to go from an idea to sending:
- Describe your campaign in plain language — who you're targeting, what you're offering, and the goal. For example:
- Pick a targeting tag (e.g.
HVAC) — the prospects carrying this tag are who you'll work. No tag yet? Click + to create one on the spot, then apply it to prospects in Discovery or Leads so the feed fills. - Click Draft with Ledo. Ledo turns your prompt into a full strategy (brand, tone, value proposition, the ask, target roles, and the research signal terms) plus a couple of automated follow-up emails.
- Review and edit the strategy — every field is yours to adjust before anything is created.
- Click Create & start working — the campaign is created and you drop straight into the per-person wizard (step 4 below).
Once you're in a session, the Customize follow-ups button opens the campaign editor, where you refine the follow-up emails (block editor or plain text) and activate the sequence.
> The strategy Ledo drafts is the campaign's Outreach Brief — it's what powers the per-person emails. Each campaign has its own brief, so different campaigns can promote different things to different verticals.
1b. Or resume an existing campaign
Switch to the Resume existing tab to continue a campaign you've already set up: choose the Email Campaign (this controls the from-address, reply handling, and follow-up steps) and a targeting tag, then Start session.
Setting up an existing campaign's brief by hand? Admins see the Outreach Brief form with these fields — the same ones Ledo fills for you above:

Email suggestions found at 90%+ confidence are applied automatically. Lower-confidence finds wait on the lead's page for your manual approval — approve one and the prospect re-enters the pipeline.
4. Work the session
Click Start session. For each ready prospect:
- Who are we writing to? — pick the target contact. The best-fit role (per your brief's target roles) is marked Suggested.
- Pick a personal angle — a real fact about the person (recent activity, shared interests). Click verify ↗ to check the source first. You can continue without one.
- Pick 1–3 business signals — real company events with sources. Click verify ↗ on each before selecting. These become the email's evidence.
- Generate — Ledo writes the email from ONLY what you selected.
- Review & send — the full email is editable in place. Check the grounding badge and the Evidence panel (every claim maps to a quoted source). Then Send & next — the email goes out, the prospect is enrolled in the campaign, and the wizard advances to the next target.
Not a fit? Skip it — skips teach Ledo what a bad match looks like.
5. After you send
- The prospect is enrolled in your campaign at step two — follow-ups go out on the campaign's schedule automatically
- Opens, clicks, bounces, and replies track exactly like any campaign email
- A reply pauses the follow-up sequence (with reply tracking on)
- Unsubscribes are honored everywhere; every email carries an unsubscribe link
Training the system
Outreach gets better as you use it. Your first ~25 sends are training reps: you make every selection yourself. After that, the wizard graduates to Suggestions on — it preselects the likely target, angle, and signals, and you just confirm or adjust. Your picks, skips, and reply outcomes feed Ledo's learnings for future ranking.
Safety rails
- Human review on every send — nothing goes out unedited or unseen
- Daily send cap of 50 outreach emails per company protects your sending domain
- One enrollment per campaign per lead, ever — no double-touches, even across tags
- Suppression checks — unsubscribed or bounced addresses are never emailed
FAQ
Why is my feed empty? Prospects need a tag match, an email address, and researched signals before they show as ready. Check the state counts on the picker screen — "in enrichment" means the waterfall is still working. If a prospect has no findable email, it parks as No email after 48 hours.
Can I write to someone else at the same company? Yes — step one of the wizard lists other contacts at the same company, ranked by your brief's target roles. Use Find more contacts to run discovery on demand.
What if the generated email is wrong? Edit it directly in the review screen, or click Regenerate. If a claim isn't supported, the badge will show Review or Uncited — pick better signals and regenerate. Every citation's source link is in the Evidence panel.
Who can set up briefs? Admins. Everyone with outreach access can work sessions.
Does Outreach replace Email Campaigns? No — it rides on them. The campaign supplies identity and follow-ups; Outreach supplies a hand-crafted, personalized first touch.
